Terms &
Conditions

Below are Motif Studio (throughout this document will be referred to as MS) standard terms and conditions. It is vital that you (The Client) take time to read through thoroughly and ensure you fully understand these terms and conditions and their implications before you commence any project with MS. Please also note that from time to time MS may need to alter these terms and conditions without notice. Please contact us if you do not understand any of the terms and conditions in this document.

Work Case Studies & Design Samples

The Client agrees to allow MS to showcase any/all work created in the course of a project as part of the MS portfolio. MS acknowledges the confidential nature of projects and agrees to only display project work once product/service has been publicly launched.

Project Acceptance

At the time of proposal, MS will provide the customer with a written estimate or quotation by email. These Terms and Conditions can be read at any time on the MS website. A copy of the written estimate or quotation is to be signed and dated by the customer to indicate acceptance and should be returned to MS. Alternatively, the client may send an official purchase order in reply to the estimate or quotation which binds the client to accept our terms and conditions, or an email acknowledging acceptance of the quotation. For the avoidance of doubt, the MS Terms & Conditions are what govern the job, not any conditions on the customer’s purchase order.

Source Files

We will supply proofs, media and PDF files as appropriate, or other graphic files as detailed in the job scope or request. Charges for design, photography or video work do not cover the release of our copyright project source files, including but not restricted to indd, psd, AI, png, fla or other source image and video files. If the Client requires these files for transfer to an in-house or other designer/editor, they will be subject to a separate quotation or ‘buy-out’ charge.

Deposit

Once a quote has been accepted, a 50% deposit is required before commencement of project. The 50% deposit of the total quoted amount becomes due. The remaining balance will be paid upon completion of the project according to the project’s specifications. MS accepts cash deposits, electronic transfers. MS does not accept payment by cheque. No project shall commence until the 50% deposit has been made and confirmed. Should a client cause a delay in the commencement of the project by failing to make deposit within a reasonable time period, MS accepts no responsibility should the deadline of the project not be met.

Payment

The customer will be provided with an Approval Form or Proof Email, and an Invoice prior to final publication. Any invoice queries must be submitted by email within 7 days of the invoice date. Payments can be made by Cash and Bank Transfer. Accounts which remain outstanding for 15 days after the date of invoice, will incur a late payment interest charge of 10% on the outstanding amount from the date due until the date of payment. Publication and/or release of work done by MS on behalf of the client, may not take place before cleared funds have been received

Cancellation

  • Advance Notice Requirement: Clients are required to provide at least 48 hours' notice if they need to cancel or reschedule their photography session. This advance notice allows us to adjust our schedule and offer the time slot to other clients.
     

  • Late Cancellation Fee: Cancellations made less than 48 hours before the scheduled session will incur a late cancellation fee. The fee will be equivalent to 50% of the total session cost. This fee helps cover the costs associated with lost opportunities and preparation time.
     

  • Rescheduling: If you need to reschedule, please inform us at least 48 hours in advance. We will do our best to accommodate your new preferred date and time, subject to availability. Rescheduling within 48 hours will be subject to the same late cancellation fee.
     

  • No-Show Policy: Failure to show up for a scheduled session without any prior notice will result in a charge of the full session fee.
     

  • Emergency Situations: We understand that emergencies and unforeseen circumstances can occur. If you are unable to provide the required 48 hours' notice due to an emergency, please contact us as soon as possible. We will review such cases on an individual basis and may offer flexibility at our discretion.
     

By booking a session with Motif Studio, you agree to comply with this cancellation policy.
